Proposal · White-label event application

An event app your clients install, not download.

A production-ready mobile event platform with a central admin console. Built once, then repurposed for every event you run — new branding, new agenda, new attendees, same reliable system.

₹1,50,000Build, one time
7 daysTo go live
₹50,000Per event thereafter
₹35,000Server, per year
What this is

One app that runs the whole event, from the attendee's pocket.

Delegates open a link, enter three details they already know, and the event is on their home screen. No app store, no download, no password to forget, no IT ticket on day one.

Behind it sits an admin console where your team loads the agenda, speakers, travel details, menus, award nominees and announcements — and changes them live, mid-event, without a developer. Every edit reaches every phone in about two seconds.

It is a Progressive Web App. That single decision removes the two things that usually derail an event app: the two-to-six week app-store review, and the 40–60% of delegates who never get round to installing anything. Here, the invitation link is the install.

Why it matters commercially

Most event apps are rented per event, per attendee, and the licence ends when the event does. This one is built once and owned. Each subsequent event is a content exercise, not a build — which is where the ₹50,000 repurposing figure comes from, and why it holds regardless of how many delegates attend.

The attendee experience

Six screens that carry the entire event

Interface previews built to the production design system — the real palette, typography, spacing and components used in the shipped application.

How it runs

From invitation to wrap-up

01

Load the delegates

Your team imports the delegate list by spreadsheet. Employee ID, email and mobile for each person.

02

Send one link

Delegates receive a link by email or messaging app. Opening it and adding to home screen takes under a minute.

03

They sign in once

Three details, matched instantly. A short onboarding captures meal preferences and emergency contacts.

04

Run the event

Agenda changes, announcements and moderation happen from the console. Every phone updates in about two seconds.

05

Close and export

Reveal the award winners, export the photo wall and attendance data, archive the event.

The detail that decides adoption

Because it is a web app, there is no app-store review to schedule around and nothing for delegates to download. In practice this is the difference between most of the room using the app and about half of it. On iPhones, push notifications require the delegate to add the app to their home screen first — the app prompts for this on first open, and critical messages can fall back to email.

Illustrative totals based on the rates above. The per-event figure does not change with delegate numbers, so a 400-person conference costs the same to set up as a 90-person offsite.

If you host it yourself

The annual ₹35,000 disappears entirely. We deploy to your server, hand over the source code and documentation, and your IT team owns it from there. The application needs a modest Linux server; we will confirm the specification during the build and support the handover.

Delivery

Seven days, start to live

The build runs to a fixed week. Content can keep arriving after go-live — that is what the admin console is for.

Days 1–2

Foundation and branding

Server, domain and certificate. Your logo, colours and typography applied throughout. Delegate sign-in and the import pipeline.

Days 3–4

Content modules

Agenda, speakers, artists, venue, travel and menus, each wired to the admin console. Notifications configured with your message templates.

Day 5

Engagement modules

Photo wall with moderation, awards and voting, chat and directory, helpdesk. Big-screen mode set up for your venue displays.

Day 6

Content load and testing

Your event's real content goes in. Full pass across every screen on iPhone and Android, plus a load test at your expected delegate count.

Day 7

Handover

Admin training, credentials issued, documentation delivered. The app goes live and the invitation link is ready to send.

What we need from you

To hit seven days we need your logo and brand colours on day one, and the delegate spreadsheet by day five. Everything else — agenda, speakers, menus, nominees — can be loaded through the console right up to the event, and changed during it.

Under the hood

Built to hold up on the day

Written for the two hours that matter: registration morning, when the whole room opens the app at once.

Performance

The platform has been load-tested at several hundred simultaneous requests with every response landing well inside a second. Real-time updates reach delegate phones in about two seconds.

Data protection

Delegates can only ever see their own travel documents and personal details, enforced at the database level rather than by hiding buttons. Uploaded images are stripped of location data automatically.

Vote integrity

Award voting is protected by a database constraint, not application logic — one vote per delegate per category, immutable once cast. The full voting record is auditable.

Abuse controls

Posting, commenting and messaging are all rate-limited. Uploads are validated by file signature rather than filename. Moderators can delete content and mute delegates for a set period.

Data ownership

The database, uploaded media and delegate records are yours. Everything can be exported at any point, and the whole platform moved to your own infrastructure.

Continuity

Databases are backed up daily. Media is snapshotted before each event. Each event's data is archived and stays available after the event closes.

Scope

Included, and not

Included in every engagement

  • All modules described in this document
  • Your branding applied throughout the app
  • Admin console with four permission levels
  • Delegate import and content loading
  • Testing on iPhone and Android
  • Admin training and written documentation
  • Support through the event itself

Quoted separately if needed

  • Running several events from one installation
  • New modules not listed in this document
  • Integration with your CRM or ticketing system
  • On-site staffing during the event
  • Photography, videography or content production
  • Native iPhone or Android store applications
  • Delegate communications sent on your behalf
Next step

Confirm the first event and its date, and send the logo and brand colours. The seven-day build starts from there. If it would help, we can walk your team through the admin console on a call before anything is committed.
